How EventEase Works

From your first search to a confirmed booking — here's exactly what to expect at each stage of the process, including appointment booking for vendors who enable live time slots.

The 5-step booking journey

Every booking on EventEase follows the same transparent, protected flow — no surprises.

Step 01

Browse & Send a Booking Request

Find the perfect vendor or service for your event.

  • Search vendors and services by name, category, or location.
  • View each vendor's packages, add-on options, ratings, and verified status.
  • Select your preferred date, time slot (when available), package, and guest count.
  • Appointment-ready vendors show live slots so you can request a specific time or leave it open.
  • Add any special notes and submit your booking query — no payment required yet.

Good to know: Only verified vendors with real customer reviews appear in search results.

Step 02

Vendor Sends a Quotation

Receive a detailed, itemised price breakdown from the vendor.

  • The vendor reviews your request and prepares a custom quotation.
  • You'll receive an in-app notification and email when it's ready.
  • The quotation includes a line-item breakdown of services, add-ons, taxes, and the total amount.
  • If you selected a slot, the vendor confirms it in the quotation or suggests a new time.
  • You can view the full quotation inside your booking detail page.

Good to know: Vendors typically respond within 24 hours. You'll be notified instantly.

Step 03

Negotiate with Counter Offers

Finalise the price through a transparent back-and-forth dialogue.

  • If the quoted price doesn't suit you, click "Counter Offer" and propose a revised amount.
  • The vendor can accept your counter, decline it, or reply with another counter offer.
  • Each round shows the offer amount, a message, and a timestamp — nothing is hidden.
  • Once both sides agree, you or the vendor clicks "Accept Quotation" to lock the price.

Good to know: All counter offers are stored so you have a clear audit trail of the negotiation.

Step 04

Secure Advance Payment

Pay safely — your money is held, not charged, until the vendor confirms.

  • After the quotation is accepted, you're directed to a secure Stripe checkout.
  • Your card is authorised (held) for the quoted amount — no funds leave your account yet.
  • The vendor can see the authorisation and must confirm the booking within the hold window.
  • Once the vendor confirms, the payment is captured and your booking is fully confirmed.

Good to know: If the vendor doesn't confirm in time, the hold is automatically released — you're never charged.

Step 05

Get Your Receipt & Leave a Review

Your event is sorted. Download proof of payment and share your experience.

  • Once the event is marked Completed, a detailed receipt is generated for your records.
  • The receipt includes the booking reference, service details, payment breakdown, and date.
  • Access your receipt any time from Bookings → Booking Detail → Receipt.
  • Leave a star rating and a written review to help other customers make great choices.

Good to know: Reviews unlock a "Reviewed" badge on your booking so vendors know you're an engaged customer.

Can I cancel after sending a booking request?

Yes. Before a quotation is accepted and payment is made your booking can be cancelled at any time from your dashboard at no cost.

Do all vendors offer appointment booking with time slots?

No. Only vendors who enable appointment scheduling show live time slots. For everyone else you submit a request and the vendor confirms timing in their quotation.

What happens if I reject the vendor's quotation?

You can decline the quotation and the booking will be cancelled automatically. No payment is ever taken without your explicit approval.

Is my payment safe during the negotiation phase?

Absolutely. You only pay after both parties agree on a final price. Until then, no card details are collected.

How many counter offers can I make?

There's no hard limit — you can negotiate back and forth as many rounds as needed until you reach a price that works for everyone.

When is my card actually charged?

Your card is first authorised (held) at checkout. The charge is only captured once the vendor explicitly confirms the booking. If they miss the confirmation window the hold is released automatically.

Where can I find my receipt after the event?

Go to Dashboard → Bookings → select your completed booking → click "Receipt". You can view it online any time.
